Scope of Work:

This position handles orders that involve making judgments such as choosing which specific product or material from the establishment's product lines will satisfy the customer's needs, or determining the price to be quoted when pricing involves more than merely referring to a price list or making some simple mathematical calculations.

Responsibilities:

  • Receives approved purchase requisitions.
  • Creates a Purchase Order used for tracking and documenting the purchase of services and materials.
  • Work typically involves some combination of the following duties
    1. Quoting prices (including competing/negotiating over $10k purchases with at least three reputable vendors
    2. Over $10k purchases require the completion of a Procurement File Checklist to include documenting pre-solicitation, solicitation, proposals, subcontractor certifications, evaluative and pre-award documentation, award and post-award actions
    3. Comprehensive understanding of the FAR
    4. Determining availability of ordered items and suggesting substitutes when necessary,
    5. Advising expected delivery date and method of delivery, recording order and customer information on order sheets, correcting invoice discrepancies, allocating credit cards.
    6. Responsible for checking order sheets for accuracy and adequacy of information; ascertaining credit rating of customer (as well as collecting vendor tax info, SAMS registration, business size/socio-economic status, COI and GSA authorization for new vendor setup in our purchasing system)
    7. Furnishing customer with confirmation of receipt of order
    8. Order follow up, or informing customer of a delay in delivery.
    9. Maintains order files and verifies shipping invoices against original orders.
    10. Works closely with craftsman, vendors, accounts payable and our consignment partners.
    11. Maintains inventory orders.
  • Other duties as assigned.

Minimum Requirements:

  • Bachelor's Degree
  • 4 years' experience in purchasing
  • Understand, read, write, and speak fluent English.
  • Must be able to successfully complete a Tier 1 (NACI) background check.
  • Must have and maintain a valid state driver's license.
  • Must be able to successfully complete a drug/alcohol test and a criminal record check.
  • For positions requiring use of a Company and/or Customer vehicle, must have a safe driving record, as defined by Company policy.
  • Must have practical knowledge of worksite safety, occupational hazards and standard safety practices.
  • Ability to update, write clear and comprehensive and informative reports.
  • Ability to collect, analyze and interpret technical data.
  • Perform recurring work independently with little or no additional instruction.
  • Must be able to work alternate and extended shift schedules when necessary to meet the mission requirements of the customer to include weekends and holidays.
  • Must possess the ability to work in a team or alone and be able to change jobs on short notice.
